The file appearing in the application feels like evidence it survives. It is not — that listing is a stored reference to a location, not the document. But before anyone pays for anything, there are several places worth checking that are free, immediate, and succeed more often than a recovery does.

The decode: what the listing is, then the places to look

Why it still appears: the recent-items list is a record the application keeps of paths it has opened — a note saying a file of this name lived here. Deleting the file does not update that note, so the entry survives and clicking it produces exactly the message she is seeing. The listing is a memory of the document, not the document.

Now the useful part, and every one of these is free. Autosave and recovery folders: word processors write periodic snapshots to their own working directory, separate from where the document was saved, and those frequently survive when the original does not — the application's recovery function or its autosave folder is the single most likely place to find recent coursework. Version history: if the file was ever in a cloud-synced folder, the service almost certainly retains previous versions and a deleted-items area for a period measured in weeks. The cloud service's own trash, which is separate from the computer's. Time Machine or any system backup, if one was ever configured. And temporary files, since word processors leave working copies behind that are named unhelpfully but open perfectly.

Why those should be tried before commissioning a recovery: not just cost. They are immediate, which is what a deadline needs, and each one returns a complete file rather than a reconstruction. Checking all five takes about ten minutes.

Why speed matters if they fail: a deleted file remains physically present until something writes over it — and a machine in daily use writes constantly. On a solid-state drive, worse: the operating system tells the drive those blocks are free, and the controller erases them during its own background housekeeping within minutes, whether or not the machine is being used. So the useful instruction is to stop using the computer, which is inconvenient with a deadline and is the difference between a recoverable file and an erased one.

Why a single small document is a good case: it is one file, recently deleted, with a known name and type. Where the filesystem's own index and journal records survive, reconstruction can locate exactly that file rather than sweeping the drive — which is faster and returns the document whole with its name intact.

What to tell the institution: worth saying plainly. Most have a procedure for technical failures affecting submissions, and a short factual note sent now is better than an explanation afterwards.
